Our Process

How the Vacancy to Vibrancy Smalls Grants are administered

The Vacancy to Vibrancy Small Grants Program is a collaborative, hands-on process supported entirely by our volunteer committee. Since 2025, we’ve worked with Pocketparks to increase our volunteer capacity, ensuring every project is well-designed, sustainable, and rooted in community priorities.

How the Grant Process Works

Our volunteer Committee provides comprehensive technical support to grantees, including:
  • Site design
  • Financial management
  • Procurement of plants, equipment, and local services
  • Marketing and communications support
  • General technical and implementation assistance

All funds are managed through the program. Grantees do not receive direct payments. Instead:
  • Grantees make all project decisions
  • The Committee orders and purchases on their behalf
  • No funds are spent without grantee approval

Grantee Expectations
Grantees work directly with the Committee by attending monthly meetings on the second Tuesday of each month, 5:30–6:30 PM (virtual). Monthly meeting minutes serve as reporting — no additional reports required.

Placemaking Blitz Day

Every step in the process leads towards Placemaking Blitz Day, a one-day volunteer event where grantees and community members come together to install the project — planting, beautifying, and bringing the space to life!
